PracticeABA's compliance dashboards and reports give clinical directors and practice managers a bird's-eye view of authorization health, documentation completeness, and regulatory compliance across the entire organization. The Compliance Dashboard Overview

The Compliance Dashboard is accessible from the main navigation menu and provides a consolidated view of your practice's compliance health. The top section displays summary cards showing the total number of active authorizations, the average utilization rate, the number of authorizations expiring within 30 days, the number of unsigned notes, and the number of sessions without documentation. Each card is clickable, taking you to a filtered detail view.

Below the summary cards, the dashboard presents several visual charts. The Authorization Health chart shows the distribution of your authorizations across health categories: Healthy (on pace), Watch (slightly off pace), and Critical (significantly off pace or expiring soon). The Documentation Completeness chart shows the percentage of sessions with completed, signed notes versus those with drafts or missing notes over time.

The dashboard updates in real time as notes are signed, authorizations are updated, and sessions are completed. You can set the default view to show data for the entire organization, a specific location, or a specific provider's caseload. Bookmarking your preferred view saves time when you check the dashboard each day.

Authorization Utilization Reports

The Authorization Utilization Report provides a detailed breakdown of how each authorization is performing against its approved allocation. To generate a report, navigate to Reports, select Authorization Utilization, and configure your filters. You can filter by date range, payer, provider, client, and utilization status. The report can be viewed on screen, exported as a PDF, or downloaded as a CSV for further analysis.

The report includes a row for each authorization with columns showing the payer, client, service code, approved units, utilized units, remaining units, utilization percentage, burn rate, projected exhaustion date, and expiration date. Rows are color-coded to highlight authorizations that are significantly over or under their expected utilization pace.

The bottom of the report includes aggregate statistics such as total authorized units, total utilized units, the overall utilization rate, and the estimated revenue impact of underutilized authorizations. This last metric translates unused authorized hours into dollar amounts based on your contracted rates, making the financial impact of under-utilization concrete and actionable for practice leadership.

Identifying At-Risk Clients

The Compliance Dashboard includes an "At-Risk Clients" panel that aggregates multiple compliance signals into a single prioritized list. A client might appear on this list if their authorization is expiring within 30 days without a renewal in progress, if their utilization is below 70% with less than a quarter of the authorization period remaining, if they have unsigned notes older than 48 hours, or if their treatment plan has expired.

Each at-risk entry shows the client's name, the specific risk factors, and a recommended action. Clicking on a client opens a detail view that shows all of their compliance indicators in one place, so you do not have to navigate between different sections of the application to understand the full picture. This consolidated view is especially useful during clinical team meetings when discussing caseload management.

You can assign follow-up tasks directly from the at-risk panel. Click "Assign Action" on any entry to create a task that is assigned to a specific team member with a due date. The task appears on the assignee's dashboard and in their notification queue. Once the issue is resolved, such as when a note is signed or a re-authorization is submitted, the at-risk entry is automatically resolved and moves off the list.

Export the at-risk list before each clinical team meeting and use it as the basis for your caseload review discussion. This ensures that compliance issues are addressed systematically rather than ad hoc.

Using Compliance Data for Improvement

Compliance data is not just for monitoring. It is a powerful tool for driving improvement across your practice. Trend analysis in the compliance reports can reveal systemic issues that affect multiple clients or providers. For example, if a specific payer's authorizations consistently show under-utilization, it may indicate that the payer's approved hours are too low for your clients' needs, suggesting an opportunity for advocacy or renegotiation.

Provider-level compliance data helps clinical directors identify training needs. If one BCBA's caseload consistently has lower documentation completeness than others, a targeted conversation about documentation workflows may be more effective than a blanket team training. Similarly, if a particular office location has higher rates of unsigned notes, the issue may be environmental, such as inadequate time built into the schedule for documentation.
