Navigating the Dashboard

The Main Dashboard Layout

When you log into PracticeABA, you land on your personalized dashboard. This is your home base and it is tailored to your role within the organization. BCBAs see an overview of their caseload, upcoming supervision sessions, and any notes awaiting review. RBTs see their schedule for the day, active client sessions, and any pending tasks. Administrators see organizational metrics, staff compliance status, and billing summaries.

The dashboard is divided into several key areas. At the top, you will find the header bar which contains the search function, notification bell, and your user profile menu. The left side of the screen houses the sidebar navigation, which is your primary way of moving between different sections of the platform. The main content area in the center displays widgets and summary cards relevant to your role.

Each widget on the dashboard is designed to give you actionable information at a glance. For example, the schedule widget shows your next few appointments with client names, times, and locations. The alerts widget highlights items that need your attention, such as unsigned notes, expiring authorizations, or upcoming supervision deadlines. You can interact with most widgets directly, clicking on an appointment to open its details or clicking on an alert to navigate to the relevant record.

Tip

The dashboard automatically refreshes data periodically, but you can also click the refresh icon in any widget to get the latest information immediately.

Sidebar Navigation

The sidebar navigation is the backbone of the PracticeABA interface. It provides access to every major feature area in the platform, organized into logical groups. The sidebar can be expanded to show full labels or collapsed to show only icons, giving you more screen space when needed. You can toggle between these modes by clicking the collapse button at the bottom of the sidebar.

The main navigation sections include Dashboard, Calendar, Clients, Staff, Billing, Messages, Files, and Settings. Under each section, you will find sub-pages that drill into specific features. For example, the Clients section lets you view your client list, access individual client records, review treatment plans, and manage authorizations. The Calendar section provides day, week, and month views of your schedule.

The items visible in your sidebar depend on your assigned role. An RBT will see a streamlined sidebar focused on scheduling and session documentation, while an administrator will see the full suite of management tools including billing, HR, and organizational settings. This role-based visibility ensures that each team member sees only the tools relevant to their responsibilities, keeping the interface clean and focused.

You can also use the global search bar at the top of the page to quickly find clients, staff members, or specific features without navigating through the sidebar. Simply start typing a name or keyword and PracticeABA will show matching results across the entire platform.

Use keyboard shortcuts to navigate faster. Press Ctrl+K (or Cmd+K on Mac) to open the global search bar from anywhere in the platform.

Quick Actions and Shortcuts

PracticeABA provides quick action buttons that let you perform common tasks without navigating away from your current page. The quick action menu is accessible from the plus icon in the header bar and includes options like creating a new appointment, adding a new client, starting a session note, and sending a message.

Quick actions are context-aware, meaning the available options may change depending on where you are in the platform. When viewing a specific client's record, the quick action menu will include options specific to that client, such as scheduling an appointment for them or creating a new note. When on the calendar page, you can also create appointments by clicking directly on an empty time slot.

In addition to the quick action menu, many pages include inline action buttons. On the client list, for example, you can click a phone icon to view contact details or a calendar icon to jump to that client's schedule. These inline actions help you accomplish tasks with fewer clicks, keeping your workflow efficient throughout the day.

Notifications and Alerts

The notification system in PracticeABA keeps you informed about events and tasks that require your attention. The notification bell in the header bar shows a badge count of unread notifications. Clicking the bell opens a dropdown panel where you can review recent notifications, mark them as read, or click through to the relevant record.

Notifications are generated for a variety of events depending on your role. Common notifications include new messages from colleagues or caregivers, session notes submitted for review, authorization units running low, upcoming supervision deadlines, and scheduling changes. Each notification includes a brief description and a timestamp so you can prioritize your response.

You can customize your notification preferences in the Settings area under Notification Preferences. Here you can choose which types of events generate notifications, whether you want to receive email notifications in addition to in-app alerts, and how frequently email digests are sent. It is a good practice to keep critical notifications like authorization expirations and supervision alerts enabled, even if you choose to reduce other notification types.

Tip

Review your notifications at the start and end of each workday to make sure nothing important slips through the cracks. The notification panel also has a 'Mark all as read' option for busy days when you need to clear your queue.
