Creating and Editing Appointments

Learn how to create appointments in PracticeABA, link them to insurance authorizations, and edit existing appointments. This lesson covers the appointment form fields, service type configuration, and the relationship between appointments and billing.

Creating a New Appointment

There are several ways to create a new appointment in PracticeABA. You can click the plus icon in the header and select New Appointment, click on an empty time slot in the calendar, or navigate to a client's record and click Schedule Appointment. All methods open the same appointment creation form, but the form may be pre-populated with different information depending on how you initiated it.

The appointment form requires several key fields. First, select the client from the dropdown. As you type, PracticeABA searches your client list and shows matching results with their date of birth for easy identification. Next, select the service type, which corresponds to the CPT code that will be used for billing. Common ABA service types include Direct Therapy (97153), Supervision/Protocol Modification (97155), Parent Training (97156), and Assessment (97151).

After selecting the service type, choose the staff member who will provide the service. The staff dropdown is filtered to show only staff members who are credentialed for the selected service type and assigned to the client's treatment team. Select the date, start time, and end time for the session. PracticeABA automatically calculates the number of billable units based on the duration and the payer's unit calculation rules, which vary by insurance company.

Finally, select the service location. If the client has a default location set in their profile, it will be pre-selected but can be changed. Review all fields and click Create Appointment to save. The appointment will immediately appear on the calendar for all relevant staff members.

Tip

Double-check that the service type matches the staff member's credentials. For example, only BCBAs should be assigned to 97155 (protocol modification) appointments, while RBTs should be assigned to 97153 (direct therapy) sessions.

Linking to Authorizations

One of the most important aspects of appointment creation in PracticeABA is the authorization linkage. When you select a client and service type, the platform automatically checks for active authorizations that cover the selected service. If a matching authorization is found, it is linked to the appointment automatically, and you will see the authorization number, remaining units, and expiration date displayed on the form.

If the client has multiple active authorizations that could apply, PracticeABA will present them in a dropdown for you to select the correct one. This commonly occurs during authorization renewal periods when both the old and new authorizations overlap. Always select the authorization with the earlier expiration date first to ensure units are used before they expire.

The authorization linkage serves several purposes. It tracks unit utilization in real time, so you always know how many authorized units remain. It validates that the appointment does not exceed the authorized frequency or duration limits. And it ensures that when the session is billed, the correct authorization number is included on the claim, which is required by most insurance payers for claim processing.

If no active authorization exists for the selected service type, PracticeABA will display a warning. You can still create the appointment, but it will be flagged as unauthorized. This flag appears on the calendar as a visual indicator and generates an alert for your billing staff so they can follow up with the insurance company or adjust the service plan accordingly.

When authorization units are running low, PracticeABA highlights the remaining unit count in yellow (under 20% remaining) or red (under 10% remaining) to help you prioritize re-authorization requests.

Editing Appointments

To edit an existing appointment, click on it in the calendar to open the appointment detail panel. From here, you can click the Edit button to modify any field. Common edits include changing the time or date, reassigning the staff member, updating the service location, or changing the appointment status.

When you change the time of an appointment, PracticeABA re-checks for scheduling conflicts and authorization availability at the new time. If the new time creates a conflict with another appointment for the same staff member or client, you will be warned before the change is saved. You can choose to proceed with the conflict or adjust the time further.

Staff reassignment is a frequent need in ABA practices, especially when an RBT calls in sick or has a schedule change. To reassign, simply select a different staff member from the dropdown in the edit form. The dropdown shows availability indicators next to each staff member's name, with green meaning available, yellow meaning partially booked, and red meaning there is a direct conflict. This makes it quick to find a replacement without leaving the appointment edit screen.

You can also change the appointment status directly from the detail panel without entering full edit mode. Status options include Scheduled, Checked In, In Progress, Completed, Cancelled, and No-Show. Status changes are timestamped and logged, creating a clear record of the appointment's lifecycle. Changing the status to Cancelled or No-Show triggers additional prompts for a cancellation reason and whether to schedule a makeup session.

Appointment Data and Billing Flow

Every appointment in PracticeABA is designed to flow seamlessly into the billing process. When a session is completed and a session note is signed, the appointment data, including the service code, units, date, rendering provider, and authorization number, automatically populates a billing record. This billing record appears in the Billing queue for review and claim submission.

The connection between appointments and billing means that accurate appointment data is critical for revenue. If a service code is entered incorrectly on the appointment, it will carry through to the claim. If the authorization is not linked, the claim may be rejected by the payer. PracticeABA has built-in validation checks to catch common issues, but the staff member creating the appointment should always verify the details.

The appointment also serves as the foundation for session documentation. When an RBT begins a session, they can open the session note directly from the appointment detail panel. The note form is pre-populated with the appointment details including the client, date, time, service type, and treatment plan goals. This linkage ensures that the documentation matches the appointment and billing records exactly, which is essential for compliance audits.

Admins and billing staff can view the full appointment-to-billing pipeline from the Billing section. Each billing record shows its source appointment, associated session note, and claim status. This end-to-end visibility makes it easy to investigate discrepancies and resolve issues quickly.

Tip

Make it a practice to verify the appointment details, especially the service code and authorization, before the session starts. It is much easier to correct an appointment than to amend a submitted claim.
