Creating a parent portal account is a straightforward process that begins from the client's record in PracticeABA. Navigate to the client's profile, open the Contacts tab, and locate the parent or caregiver you want to give portal access to. If the caregiver is not yet listed as a contact, you will need to add them first with their name, relationship to the client, email address, and phone number.
Once the caregiver contact is in place, click the Enable Portal Access button next to their name. This opens a configuration panel where you can set the caregiver's portal permissions. The standard permission set allows the parent to view the appointment schedule, send and receive messages, view shared documents, and update their contact information. You can also enable or disable specific features based on your practice's preferences and any applicable custody or care arrangement considerations.
After configuring permissions, click Send Invitation. PracticeABA sends an automated email to the caregiver with a link to create their portal login credentials. The invitation includes the practice name, a brief description of the portal, and instructions for setting up a password. The invitation link expires after 7 days for security purposes, but you can resend it at any time if the caregiver does not complete the setup within that window. You can monitor invitation status from the client's Contacts tab, which shows whether the invitation is pending, expired, or completed.
Tip
Walk the parent through the portal during their next in-person visit if they have not accepted the invitation. Some caregivers are more likely to engage when they can see a live demonstration of how the portal works.
ABA practices frequently serve multiple children from the same family, and PracticeABA handles this through family account linking. When a parent already has a portal account connected to one child and you need to add access for a sibling, you do not need to create a separate account. Instead, navigate to the second child's client record, open the Contacts tab, and link the existing parent contact to this client as well. Enable portal access for the linked contact, and the parent's portal will automatically display both children.
In the parent portal, families with multiple children see a family dashboard with a card for each child. They can switch between children to view individual schedules, messages, and documents. Messages sent by the parent can be directed to a specific child's clinical team using a child selector in the messaging interface. This keeps communications organized and ensures that messages reach the right team members.
For shared custody or guardianship situations, PracticeABA allows you to create separate portal accounts for multiple caregivers associated with the same client. Each caregiver has their own login credentials and their own set of permissions. If a custody arrangement limits one parent's access to certain information, you can configure their portal permissions accordingly. For example, you might grant one parent full portal access while limiting another to schedule viewing only, without access to clinical documents or messaging. Always consult with your practice's legal guidelines and any court orders when configuring access in custody situations.
The most common issue when setting up parent portal accounts is that the invitation email lands in the caregiver's spam or junk folder. If a parent reports that they did not receive the invitation, first ask them to check their spam folder for an email from your practice's configured email address. If the email is not found, you can resend the invitation from the client's Contacts tab. It is also helpful to ask the parent to add your practice's email domain to their safe sender list to prevent future delivery issues.
Another frequent scenario is a caregiver who has difficulty completing the account setup process. The most common obstacles are password requirements that the caregiver finds confusing and browser compatibility issues on older devices. PracticeABA's portal supports all modern browsers including Chrome, Safari, Firefox, and Edge on both desktop and mobile. If a caregiver is using an outdated browser, suggest they update to the latest version or try a different browser.
Occasionally, you may need to reset a parent's portal credentials if they forget their password or if their account becomes locked after too many failed login attempts. You can initiate a password reset from the client's Contacts tab by clicking the Reset Password option next to the caregiver's name. This sends a reset email that allows the parent to create a new password. For security reasons, PracticeABA staff cannot view or set passwords for parent accounts directly; all credential management goes through the email-based reset workflow.
Tip
Create a one-page parent portal setup guide that you can hand to caregivers during intake. Include the portal URL, the email address the invitation comes from, and basic troubleshooting steps. A printed guide reduces setup support requests significantly.
