Learn how to use PracticeABA's messaging system to communicate directly with parents and caregivers. This lesson covers sending and receiving messages, managing message threads, using message templates, and maintaining professional communication standards.
PracticeABA's messaging system provides a secure, HIPAA-compliant channel for communicating with parents and caregivers. To send a message to a parent, navigate to the Messages section in the sidebar and click New Message. Select the client's name from the recipient list, and you will see options to message the parent, the internal clinical team, or both. Select the parent option, compose your message, and click Send. The message is delivered to the parent's portal inbox and, depending on their notification preferences, may also trigger an email notification alerting them to check the portal.
Incoming messages from parents appear in your Messages inbox with a distinct visual indicator showing that they are from a parent rather than an internal staff member. You can also access parent messages from the client's Messages tab, which shows the complete conversation history for that specific client. Unread parent messages are highlighted and counted in the notification badge on both the Messages section and the notification bell.
Messages support text content and file attachments. You can attach documents, images, or other files up to the platform's size limit directly within the message compose window. However, be mindful of what you share through messaging. Detailed clinical data such as raw behavior data graphs, full assessment reports, or treatment plan technical details should typically be shared through the Documents feature with appropriate context rather than in a message thread. Messages are best suited for scheduling discussions, session summaries, caregiver tips, and general coordination.

Check your parent message inbox at least twice daily, once in the morning and once in the afternoon. Prompt responses demonstrate professionalism and encourage families to use the portal as their primary communication channel rather than personal texts or phone calls.
As your message volume grows, effective thread management becomes essential for maintaining responsive communication. PracticeABA organizes messages into threads grouped by client, making it easy to review the full conversation history with each family. The Messages inbox can be filtered by client name, date range, read/unread status, and whether the messages are from parents or internal staff.
Each message thread shows the participants, the most recent message preview, and the timestamp of the last activity. You can pin important conversations to the top of your inbox for easy access, and you can archive resolved conversations to keep your active inbox focused on current communications. Archived threads are not deleted and can be accessed through the All Messages view at any time.
For practices with multiple providers serving the same client, PracticeABA allows team-based messaging where multiple staff members are included in the parent conversation. When a BCBA and RBT are both participants in a parent message thread, either can view and respond to parent messages. This ensures continuity of communication even when a primary provider is unavailable. Team messaging also includes an internal note feature where staff can add comments visible only to other staff members within the same thread, allowing clinical discussion about a parent's message without the parent seeing the internal conversation.
PracticeABA includes a message template feature that allows you to create and save pre-written messages for common communication scenarios. Templates save time and ensure consistent, professional messaging across your clinical team. Common templates include appointment reminders, session summary outlines, schedule change notifications, caregiver homework reminders, and holiday closure announcements.
To create a template, navigate to Messages, then Templates, and click Create Template. Write the template content using placeholder variables such as {client_name}, {session_date}, {provider_name}, and {appointment_time}. When you use a template to compose a message, PracticeABA automatically fills in the placeholder values based on the selected client and appointment context. Templates can be shared across the organization or kept private to individual users.
Maintaining professional communication standards in parent messaging is essential for protecting your practice's reputation and maintaining HIPAA compliance. All messages should use professional language, avoid clinical jargon that parents may not understand, and focus on actionable information. Avoid sharing protected health information in message subject lines, which may appear in email notifications. Never use messaging to deliver sensitive news such as significant behavior incidents or treatment plan changes; these conversations are better handled through phone calls or in-person meetings with follow-up documentation. Your practice should establish written messaging guidelines that all staff review during onboarding to ensure consistency.

Build a library of at least 10 commonly used message templates before launching the parent portal with families. Having templates ready from day one helps your team start strong and maintain consistent communication quality.
